Team Chat Rooms

Private Office AI · Feature — Team Chat Rooms

A group chat for every team, with the AI already in it.

Instead of an assistant that only ever talks to one person at a time, Team Chat Rooms give each department, project, or shift its own shared space — where colleagues talk to each other and to the AI in the same thread, just by typing @ai. Everyone in the room sees the same answer at the same time.

Njoroge: @ai what’s our cancellation policy for same-day bookings?
AI: Same-day cancellations forfeit the deposit per the policy doc — want me to draft a reply for the guest?
Front Desk: Yes, keep it polite but firm.

01 — What it is

A shared space where the team and the AI think together

Team Chat Rooms turn Private AI Chat from a one-on-one tool into something a whole department can lean on at once — without anyone losing the thread of who asked what.

The Room

Group conversation, built for a real team

Set up a room per department, per project, or per shift — front desk, accounts, a specific client account — and add the people who belong in it. Everyone posts in the same thread, sees the same history, and stays on the same page without a forwarded email chain.

  • Unlimited rooms, no extra cost per room
  • Full message history, searchable by anyone in the room
  • Works on any device logged into the office Wi-Fi
@ai in the Room

The assistant answers the whole group at once

Anyone can pull the AI into the conversation just by typing @ai, and its reply lands right in the room for every member to see — no relaying an answer from a private chat, no “let me ask and get back to you.”

  • Same model and engines as Private AI Chat
  • Reads the room’s own shared uploads and context
  • Never sent outside the box, same as every other chat

02 — Inside the room

Built for the way teams actually work together

Rooms connect to the rest of the box, so the AI’s answers inside them are grounded, not generic.

Grounded in shared files

A room can point at a Knowledge Base folder — a policy manual, a client’s contract history — so when someone types @ai, the answer cites the exact document, for everyone to see.

Membership set by role

Who can join, view, or be added to a room follows the same Admin, Manager, and Staff roles set for the whole team, so a client-project room doesn’t quietly end up visible to everyone.

One thread, no lost context

Because the AI’s replies live in the same thread as the humans’, anyone catching up later scrolls one history instead of piecing together separate private chats.

Handy for the routine questions

Policy lookups, quick drafts, “what did we quote this client last time” — the questions that used to interrupt one person’s day now get answered in the room, for whoever asks.

03 — How it feels day to day

Start a room, add your team, done

Step 1

Create a room

An admin or manager names a room — a department, a project, a shift — and adds the accounts that belong in it.

Step 2

Talk, and loop in the AI

Team members post like any group chat. Anyone types @ai when they want the assistant to weigh in, draft, or look something up.

Step 3

Everyone sees the same answer

The AI’s reply appears in the shared thread, generated entirely on the box, visible to every member of the room at once.

04 — The rest of the box

Team Chat Rooms is one part of the office

Same login, same box, same privacy — explore what else runs alongside it.

05 — Questions people ask

About Team Chat Rooms specifically

How many rooms can we create?+
As many as your team needs — one per department, per project, or per shift. There’s no per-room fee, so it costs nothing extra to keep them separate rather than crammed into one channel.
Can everyone in a room see the AI’s answers?+
Yes. When someone types @ai, the reply posts directly into the shared thread, visible to every member of that room, the same as any other message.
Can we limit who’s allowed into a specific room?+
Yes. Room membership follows the same Admin, Manager, and Staff roles set up under Team Accounts & Permissions, so a client-project room or a sensitive room stays limited to the right people.
Does the AI in a room know about our files?+
A room can be connected to a Knowledge Base folder, so @ai answers questions grounded in that team’s own documents, citing the source, rather than answering from general knowledge alone.
